Terms and Conditions
By booking sessions with Whittle and S’more you agree to the following conditions:
Booking and Payment
Sessions are to be booked via our online booking system in advance to sessions taking place. Sessions are only bookable in blocks, although, taster sessions can be booked as one offs.
Weather
Sessions will run in all weathers except during high winds or storms. I will assess the weather before a session and advise participants if on the rare occasion the session needs to be cancelled, unfortunately no refunds will be given due to bad weather, if possible an alternative date will be provided. If the weather becomes dangerous during a session it may be decided that unfortunately the session can not be continued and again unfortunately no refunds will be provided.
Behaviour
Whilst we are inclusive at Whittle and S’more and encourage healthy debates and expect the occasional minor conflict between children at times, we will not tolerate any violent or aggressive behaviour from the children or adults and those will be asked to leave. We reserve the right to refuse participants to sessions if we feel we are not safe.
Illness
Whilst we expect minor childhood illnesses, please ensure your child is well enough in themselves to attend due to being outdoors for the session and we don’t want them to become more poorly! If your child has had sickness or diarrhoea, please do not attend a session for the following 48 hours after the last episode. Unfortunately, no refunds will be given for child sickness.
Appropriate clothing
Please wear appropriate clothing to the sessions, weather dependent and safety considered.
Rainy days-we run sessions on rainy days so ensure to wear a waterproof coat and suitable foot-wear such as wellingtons, shelter will be limited.
Sunny Days-please wear sun protection and hats, wear light clothing with long sleeves and trousers to protect from the sun.
Cold Days-lots of layers will be needed, base, mid and outer layer and warm thick socks. Hat, scarf and gloves will also be needed.
Photographs/Social Media
Photographs for social media, website and advertising will be taken during the sessions. Please notify us if you do not wish to have yours/your child’s photograph to be taken or used. You can notify us of this on your information/consent form when booking sessions.
Feedback
Participants are always welcome to leave us feedback. Although we always strive to do our best at Whittle and S’more, we understand maybe things haven’t quite worked out as planned or not to participants expectations. We welcome any feedback to ensure our sessions positively progress. Please email at whittleandsmore@gmail.com.
Tics/insect repellent
If possible, please ensure to have to hand an insect repellent (I will always have some with me) and after sessions make sure to check yourself/your child for any signs of Tics. Tics can carry Lyme disease, so it is imperative to remove them as soon as noticed.
Serious Incidents/Accidents
In the event of an accident, as Forest School leader and designated First Aid responder, I will first remove the group from the hazard, danger or injured party and administer first aid. If the accident is more serious then I will phone for an ambulance, if unable to due to administering first aid I will ask another parent to do so.
Food allergies
Please make sure to notify us of any allergies or dietary requirements when registering for sessions. As we will be having snacks at times it is important that I know of this before providing. It is the responsibility of the attending parent to ensure what their child eats is safe for them. I do not hold any responsibility if a child has a reaction to a food they have eaten which has been agreed by the attending adult. We will of course have emergency plans if there is an emergency situation such as this.
Medications
If you or your child requires daily or regular medication, please make sure you have this with you and clearly labelled at all sessions and kept safely with you. Any medical information will need to be added to the registration documents and updated accordingly.
Additional Needs
We are an inclusive setting and welcome all children of all abilities. If your child has any SEN requirements please let me know when booking so that I can adapt sessions to suit when needed. We are hoping to provide soul SEN group sessions at a later date.
Attendees
Until we have sessions where an attending adult is not required at sessions, it will be the adult’s responsibility to care for their own child. Although, we hope at Whittle and S’more we will be inclusive and everyone works and helps one another, building a community and taking all children into consideration during their time at the sessions. My 2 year old son will be with me at the sessions and on weekends my older children, 11 year old twin girls and 14 year old son may attend to support us.
Mobile Phones
Whilst it is of course possible to have mobile phones with you, I please ask that they are kept away in bags if possible and only used in emergencies or to take the occasional photo of YOUR OWN child. I feel that sometimes mobile phones can be a distraction when full focus and time should be spent engaging with your child during their session and activities.
Registration Information and Data protection
Please ensure you fill out the consent form in full when booking for your child and kept up to date with us. We will only use your information to contact you about the sessions and will not sell or share your information to anyone else.
GDPR-Please refer further to our Privacy Policy
Unless a longer retention period is required or permitted by law, we will only hold your Data on our systems for the period necessary to fulfil the purposes outlined in this Privacy Policy or until you request that the Data be deleted.
Even if we delete your Data, it may persist on backup or archival media for legal, tax or regulatory purposes. This can be for a period of 3 years.
